When you register for the event, we collect only the data necessary to organize your participation, such as: 

• Name, birthdate 

• Contact information ("registration managers" only)

• Affiliation and position within the IKGA (country, grade)

• Dietary requirements and accommodation preferences

• Information about your trip to Switzerland (for those in need of an airport shuttle)

We process your data for the following purposes: 

• To register and manage your participation in the event 

• To communicate with you regarding event details ("registration managers" only)

• To arrange accommodation, catering, and other event logistics 

• To comply with legal obligations 

The legal basis for processing your data is: 

• Performance of a contract (event participation agreement) 

• Consent (for optional data, such as dietary preferences) 

• Legal obligations (where applicable) 

We may share your personal data with trusted third parties strictly for event organization purposes, such as: 

• Hotels (for accommodation bookings) 

• Caterers (for dietary requirements) 

• IKGA Europe HQ and Executive Council (in accordance with the Rules & Regulations of IKGA Europe)

All third parties are bound by confidentiality and data protection obligations in line with FADP. 

We will keep your personal data only for as long as necessary to fulfill the purposes outlined in this policy: 

• Event organization and follow-up communication: no longer than December 31, 2026

• Financial and legal records: as required by applicable law 

After this period, your data will be securely deleted.
